How to Create a Tech Pack for a Custom Backpack

A custom backpack can begin as a pencil sketch, a mood board, a reference photo, or an existing sample. None of those inputs is automatically a production specification. A factory still needs to know what the bag looks like from every side, how large it is, what fits inside it, which materials and components to use, where each logo goes, how the sample will be tested, and who has authority to approve changes.

A backpack tech pack organizes those decisions into one controlled document set. It helps brands, schools, promotional-product buyers, teams, and distributors obtain comparable quotations, reduce sample revisions, inspect prototypes, and preserve a usable standard for bulk production and repeat orders.

A useful tech pack connects the design concept to measurements, materials, components, testing, approval, and revision control.

The tech pack should be detailed enough to prevent silent assumptions but organized enough that teams can find the current requirement quickly.

Start With a Controlled Cover Page and Revision Log

Every page should identify the same style and revision. A professional cover page normally records:

  • brand or buyer;
  • project and style name;
  • unique style or SKU code;
  • product category and intended use;
  • target user or age group;
  • target market;
  • creator and authorized approver;
  • original issue date;
  • current revision number and date;

  • left and right side views if they differ;
  • top and bottom views when construction is not obvious;
  • open view of each main zipper compartment;

Mark seams, topstitching, binding, piping, panel joins, zipper openings, pleats, darts, elastic, compression straps, and reinforcement zones. Use callout IDs such as M01 for material, T01 for trim, L01 for label, and P01 for point of measurement.

Interior views

Show the main compartment open and identify:

Yes, but a reference photo should be treated as design evidence, not a complete instruction. It may show silhouette, styling, color direction, or pocket arrangement. It usually cannot confirm:

  • exact finished dimensions;
  • hidden reinforcement and foam;
  • fabric composition, weight, or coating;
  • zipper type or chain size;
  • pocket depth and internal organization;
  • seam allowance and construction sequence;
  • strap curvature and padding thickness;
  • load expectations;
  • color under controlled lighting;
  • ownership or permission to reproduce protected features.

Label what you want to copy from each reference. For example, “use the general top-opening shape” is clearer than “make this bag.” Identify what must be original and confirm that supplied logos, artwork, and third-party product features can be used legally.

Developing from an existing sample

An existing backpack allows the supplier to measure finished dimensions and examine construction, but it still needs an instruction sheet. Mark:

  • Keep: features to retain;
  • Modify: features that change;
  • Remove: unwanted features;
  • Unknown: details the factory should investigate and submit for approval.

Photograph the sample from square angles, assign it a reference ID, and state whether destructive opening is permitted. A factory should not cut apart the only valuable sample without written authorization.

Define Finished Dimensions With Points of Measurement

A single line reading “45 × 30 × 15 cm” leaves room for different interpretations. Does depth include a stuffed front pocket? Is width measured at the top, middle, or widest point? Is height measured from the bottom seam to the top seam or to the top of the handle?

State the measurement condition

Measurements change when a soft bag is empty, flattened, naturally filled, or fully extended. Record whether the sample is:

  • empty and relaxed;
  • laid flat without stretching;
  • filled with a defined form or contents;
  • zipped closed;
  • measured after conditioning;
  • measured externally or internally.

Use one unit system as the primary standard and show any conversion carefully. Avoid rounding back and forth between inches and millimeters during revisions.

If capacity is a commercial claim, state the intended method rather than relying only on CAD volume or multiplication.

How should compartments be measured?

For every compartment, identify:

  • internal or external measurement;
  • usable width, height, and depth;
  • opening width and opening direction;
  • closure type;
  • target item or use;
  • padding that reduces space;
  • whether the pocket is gusseted, flat, elastic, or shared with another volume;
  • whether the dimension is measured empty or with a form.

For a laptop sleeve, do not specify only “fits 15-inch laptop.” Device screen size does not define chassis dimensions. Provide the maximum device width, height, and thickness, required access clearance, and desired padding.

Build a Complete Material BOM

The bill of materials should identify every material by location. “600D polyester” alone does not fully define appearance or performance.

  • coil, molded plastic, or metal element type;
  • chain size or approved supplier code;
  • closed-end, open-end, one-way, or two-way configuration;

  • lock or non-lock behavior where relevant;

Buckles and adjusters

State fiber, finished width, thickness when important, weave, edge, color, hand feel, stretch, and location. Identify whether webbing is load-bearing, decorative, or only used as a pull tab.

Shoulder straps and carry handles

Show strap shape as a pattern or full-size outline. Specify finished width, length range, curvature, outer fabric, underside mesh, foam type and thickness, binding, adjuster, attachment area, reinforcement, and topstitching. For the handle, define finished length, handle drop, folded layers, padding, wrap, and attachment.

Detail the Laptop Sleeve, Back Panel, and Padding

Padding specifications should describe the system, not only one foam thickness.

The protective result depends on geometry, material, thickness, coverage, seams, and bottom clearance.

  • sleeve location and access;
  • lining and facing fabric;

Show foam zones, ventilation channels, spacer mesh, curvature, lumbar features, luggage sleeve, and contact area. State whether panels are cosmetic, structural, or intended to manage comfort. Any performance claim should match a defined test or approved evaluation.

Bottom and side protection

Identify whether the bag uses double fabric, foam, coated reinforcement, board, molded parts, feet, or an external protective panel. Mark coverage and attachment precisely.

Define Logo, Pantone, Labels, and Packaging

Branding requirements should be production-specific. Provide vector artwork and a placement drawing for every logo.

The buyer should confirm current legal and marketplace requirements for each destination.

  • stuffing or shape support;
  • strap arrangement;
  • folding or no-fold condition;
  • tissue or protective layer;
  • individual bag type and closure;
  • suffocation or material markings where required;
  • hangtag and barcode placement;

Can a Factory Complete an Incomplete Tech Pack?

Yes. A capable supplier can recommend materials, components, construction, and manufacturing details. However, “the factory will decide” should become a documented assumption-and-approval process.

Use three status labels:

  • Buyer Fixed: must not change without written approval.
  • Supplier Proposal Required: factory supplies options, cost impact, MOQ, lead-time effect, and sample evidence.
  • Prototype Validation: the team expects the sample to determine the final decision.
